Getting to One-Stop: A Best Practice in Collegiate Conferencing

Description:
Developing a one-stop shop is considered a best practice in collegiate conferencing. In addition to client planners preferring it, the one-stop shop can improve cross-functional coordination and communication on campus and eliminate operational redundancies. This course will examine the issues associated with creating a one-stop conference department on a college campus.
Course Outline:
Week 1, Program: Participants will work towards developing a business plan with the goal of establishing a one-stop shop operation, with attention to departmental mission, vision, and strategy and the key components of the operation.
Week 2, Partnerships: Participants will examine the various relationship models and explore issues around contracting, risk management, and relationship maintenance.
Week 3, Sales & Marketing: Participants will learn about marketing strategies and developing a marketing plan.
Learning Outcomes:
Upon completion of this course, participants will be able to:
- Develop a business plan around the necessary components of a successful conference services operation
- Explore key issues in collegiate conferencing and how they affect the conference operation
- Identify and establish the key partnerships with campus organizations that are critical to a conference program's success
- Develop a marketing plan via the use of successful strategies
- Incorporate the core one-stop principles into the business plan
Participant Expectations::
Participants should plan to spend approximately 3 to 4 hours per week in this course. This will include time to read materials, complete on-line exercises and surveys and participate in asynchronous on-line discussions. Participants will need to log on for course content that will be posted weekly. In addition participants will need to respond to questions posted on the discussion board each week. As the discussion board is asynchronous, students may check in and post at their convenience. This learning tool will be an important part of participant's learning experience.
Instructor Bios:
Tom Flynn is Associate Director of Conferences and Visitor Services at the University of Maryland, College Park. In this capacity, he directs the summer conference operation, which is a Certified One-Stop Shop. Tom is a Past President, and current board member, of ACCED-I, the Association of Collegiate Conference and Events Directors - International. He has spent the past few years representing the association and presenting sessions at various conferences, including NACAS, ACUHO-I Conference Services Conference, NAACO, and VenueMasters.
Joel Hauff is Associate Director of Residence Life at The University of Arizona.
